The XXXV EDS SummerUniversity & Annual Meeting will be organised by AktionsGemeinschaft Austria.
1. Arrival and departure
Arrival registration of participants is foreseen on Friday, 8th, July 2011 from 14.00h till 18.00h. Departure is foreseen on Wednesday, 13th, July 2011 after lunch. Please inform your exact arrival and departure times (mean of travel, date, time, place, flight number, passport number!!!) immediately at registration!!!
Only participants’ transfer to the hotel on Friday will be assisted who submit exact and complete arrival times and places when registering, by June 15th. The transfer of all those failing to submit exact info will not be guaranteed.
2. Schengen regime, passports and visa policy
If you are a EU citizen it is enough to carry a simple ID with you (or – of course – a traditional old-fashioned passport). Please note that your travel documents (no matter if you are a EU citizen or not) must be at least valid for six months! Please check them in due time! Driving licences are not accepted at the border. Customs control still take place if you arrive from a Non-EU-country. Invitations - necessary the visa that citizens of some Non-EU countries need will be issued by EDS Secretary General. Latest deadline for such demands is June 10!!!
3. Accomodation:

The costs for accommodation and meals during the programme days will be covered. Transport will be provided for listed activities not within walking distance by public transportation.
The check-in at the hotel will start at 14.00 h. Please note the check-out on Wednesday morning is 12.00 h. If you want to write the consumption on your room, you have to leave your credit card (MasterCard, Visa) data at the check-in.
4. Participants:
Each EDS member organisation can send 3 delegates. We strongly encourage to add delegates on the waiting list as those places will be allocated shortly after closing of the registration. Notification of waiting list candidates takes place until June 17.
5. Registration:
The only possibility to register is by sending the following details to the organisers by the well-known registration form writing to the EDS Secretariat stating your name, country, organisation, gender, phone, mail, arrival and departure info and your passport (or ID) number (necessary for Parliament) AND additionally any accommodation wishes if there are some.
Important remark in case of cancellation: If you need to cancel your participationin case of an emergency, please inform EDS Secretariat latest June 25! If not, you and your organisation are jointly and severally liable for the payment of the accommodation costs (the average cost of the hotel room will be counted), so approximately 200 Euro. If this amount is not paid, it results in debts for the sending organisation.
Registration should be exclusively made by the respective head of delegation!!!

Extra Days:
Participants who want to come earlier or stay longer have to make these arrangements by themselves and at their own expenses.
Participation Fee:
The participation fee for EDS member organisations for the event is 160 EUR per participant if you pay via bank transfer (deadline June 25), if you pay cash upon arrival the participation fee will be 180 EUR. For Guests the participation fee is 200 EUR for via bank transfer (deadline June 25) and 220 for payment cash upon arrival.

Each participant and his sending organisation are jointly and severally liable for the payment of this amount towards EDS and AktionsGemeinschaft. The fee will be charged to each individual upon the arrival and registration of the participants. Check-in and the hand-out of the hotel keys can be made only in the case the participant has supplied confirmation of payment or has paid the complete amount in Euro directly upon arrival. Please note that the participation fee is payable with no regard to the number of days you spend in Vienna. With this step, we want to make sure the EDS member organisations send participants that are willing and able to follow the conference at its whole length. We also inform you that ALL participants have to pay their participation fee with no regard to the country they come from.
Expenses:
The costs of accommodation, food, programme, transportation between the venues in Vienna and conference material are covered by the organiser. Any other expenses have to be covered by each participant individually. There won´t be any travel cost reimbursement.
Currency:
The Austrian Currency is Euro (EUR). Major Credit Cards are widely accepted. The easiest way to get cash is to withdraw from an ATM, preferably from your home bank.
Working Language:
The working language of EDS is English. Therefore all organisations are requested to send participants who have enough knowledge of the English language to take part in the meeting in an active way. Official language of EDS is British English.
Transportation within the city
The transportation will be covered by the organisers. Venues that are not in walking distance will be reached by public transport.
